Overview

Most accounting tools trust whoever is typing. AccoPro checks the entry, then the person, then the history. Debits and credits must match exactly and the check runs on the server, so it holds whether the entry was typed, imported from a spreadsheet or produced by the AI. An entry moves draft → checked → approved, and the person who wrote it cannot be the one who approves it. Once approved it is locked: to fix it you post a reversal, so both the mistake and the correction stay on the record.

In most setups the books, the stock sheet and the tax workbook are three systems that have to be reconciled to each other. Here they are one posting. Record a purchase and the value, the units and the reclaimable tax land together, from the same document, at the same moment — which is why the stock report, the tax summary and the balance sheet agree without anyone making them agree.

The AI does the typing, not the approving. Upload a supplier invoice — a PDF or a photograph of a receipt — and AccoPro reads who it is from, the dates, the line items and the totals, and hands back a finished draft. Lines it is confident about are filled in; lines it is not offer you its best three guesses rather than a blank box or a quiet wrong answer. It runs on an AI key you supply, kept encrypted for your company alone; leave it blank and the AI features switch off cleanly while everything else works exactly the same.

Highlights
  • Nothing saves unless it balances — checked on the server, every time
  • AI drafts the entry; a second person still approves it
  • An approved entry is locked — corrections are reversals, kept visible
  • Money, stock and tax carried by one posting, not three systems
  • Bring your own AI key, encrypted; leave it blank and AI switches off
  • Self-hosted on your PostgreSQL — no copy of your books out of reach

Feature breakdown

Grouped by module, with live execution status per feature.

AI Assistance — live

7 features

Invoice and receipt to draft entry

Live

A supplier invoice as a PDF, or a photograph of a receipt, read into a finished draft: the party, the dates, the line items and the totals.

Confidence, line by line

Live

A line it is sure of is filled in; a line it is not offers its best three guesses instead of a blank box or a quiet wrong answer.

A whole bank register at once

Live

Drop in the register and every row is classified — first by the rules you have taught it, then by AI, then by matching names.

It learns how you code things

Live

Correct a classification once and it is remembered for next time.

It keeps the small print

Live

Chassis numbers, purchase-order references, delivery terms — the things no field is built for go into the note, and never overwrite what you wrote.

Your key, your choice

Live

Bring your own AI provider and key, kept encrypted for your company alone. Leave it blank and the AI features simply switch off.

AI never posts on its own

Live

Whatever the AI produces walks the same road as anything typed by hand: draft, checked, approved by a second person.

The Three Rules

4 features

It has to balance

Live

Debits and credits must match exactly, checked on the server every time you save — so it holds for spreadsheet imports too.

Someone else signs it off

Live

Draft → checked → approved, and the writer cannot approve. Working alone still lets you through, and marks the entry so you can see it later.

Nothing changes quietly

Live

An approved entry is locked; a fix is a reversal. Every change is logged with who made it and when.

Only approved entries reach a report

Live

A draft cannot quietly change a balance sheet — which is why the statements agree with the ledger.

One Ledger — Money, Stock and Tax

5 features

Multi-level chart of accounts

Live

Group accounts as deep as you like; only the bottom level takes entries, so nobody posts to a heading by mistake.

Party sub-ledgers for customers and suppliers

Live

What each party owes you and what you owe them, with a statement for any one of them and ageing by how overdue.

Stock moves as an accounting entry

Live

Quantity and value can never drift apart, because one posting carries both — including the freight and duty loaded onto the unit.

Costing: exact unit, weighted average or FIFO

Live

Suits stock worth naming one by one — vehicles, machinery, serial-numbered goods — as well as boxes on a shelf.

Tax worked out and posted with the line

Live

Tag the line and the tax is calculated at the rate that applied on that date, posted to its own account and frozen onto the line for later proof.

Reports, Branches & Years

6 features

Balance sheet, P&L and cash flow

Live

Laid out the way your board reads them — your headings, your order, your wording, with numbered notes underneath.

Trial balance and general ledger

Live

A trial balance that always adds up, because the balance check runs at the point of saving.

Several branches under one company

Live

An entry across two branches balances on both sides by itself.

Close a year properly, in one run

Live

Opening balances carried in once, and a closed period will not accept new entries.

Real-time fund position

Live

Cash, bank and wallet balances grouped so owners see their purchasing power without running a report.

Head-office consolidated reports

Planned

Combined branch statements with intercompany elimination.

Make It Yours

6 features

Your report layouts

Live

Build the statements the way your board reads them. If an account is not included anywhere, the software tells you — so nothing goes missing from a total.

Your accounts, from day one

Live

Start from a ready-made chart of accounts or bring your own in from a spreadsheet.

Who can do what

Live

Build the roles your company actually has, then give or take away a single permission for one person.

Your tax rules, with dates

Live

Pick your country and the right codes and rates are set up. Rates carry dates, so last year's entry uses last year's rate.

Data in and out in ordinary formats

Live

Spreadsheets in, checked row by row before anything is written; Excel, CSV and PDF out, on your own letterhead.

Tax compliance: TDS/VDS and NBR Mushak

Planned

Source deductions, tax voucher splitting, and Mushak 6.3 and 9.1 returns in the official formats.

AI Layer — next

4 features

Universal JSON ingestion adapter

Planned

A locally hosted model parsing messy logs from third-party POS or e-commerce webhooks into clean vouchers.

Self-healing schema blueprinting

Planned

When an outside platform changes its field properties, the data map is repaired rather than crashing.

Fuzzy bank feed narrative organizer

Planned

Short, unreadable local bank statement strings normalised into clear ledger categories.

Receipt-to-voucher scan pipeline

Planned

Lightweight vision processing pulling dates and totals off scanned paper cash memos straight into draft entries.

Where your data lives

AccoPro runs on your server or your private cloud, on PostgreSQL. Your ledger, your attachments and your AI key sit on storage you control — there is no copy of your books somewhere you cannot reach. Every screen talks to the same documented REST API, so a system you already run can post and read through it too.

Frequently asked questions

What is AccoPro?+

AccoPro is double-entry accounting software with an AI assistant. It carries money, inventory and tax on one ledger: record a purchase and the value, the units and the reclaimable tax all land together from the same document. AI reads invoices and bank registers into draft entries, but a second person always approves them, and an approved entry is locked against quiet edits.

Can the AI post entries by itself?+

No. The AI produces a draft and nothing more. Whatever it writes walks the same road as anything typed by hand: draft, checked, approved by a second person. Lines it is confident about are filled in; lines it is unsure of offer its best three guesses rather than a blank box or a quiet wrong answer, so the person approving always knows where to look.

Whose AI is it, and what happens to our documents?+

Yours. You bring your own AI provider and key, which is kept encrypted for your company alone, and you can change provider whenever you like. Leave the key blank and the AI features switch off cleanly while everything else works exactly the same. Uploaded documents are processed as data, never as instructions to the system.

How does it stop someone approving their own entries?+

An entry moves through draft, checked and approved, and the person who wrote it cannot be the one who approves it. If you are working alone it still lets you through, but it marks the entry so you can see it later. Once approved, the entry is locked: correcting it means posting a reversal, so both the mistake and the correction stay visible, with who made each change and when.

Where does our data live?+

On your own server or private cloud, on PostgreSQL. Your ledger, your attachments and your AI key sit on storage you control — there is no copy of your books somewhere you cannot reach. Every statement downloads as a real Excel, CSV or PDF file, and every screen talks to the same documented REST API, so nothing is locked in.
